Telephone Etiquette

  • Putting a good rapport when a call is made or answered is very important. Your voice will make the person at other end feel that you are alert.
  • Try to answer calls within three rings.
  • Listen actively without interrupting before speaking.
  • Only voice is the instrument with which you can make the person at other end feel that you are pleased to answer/make the call. A pleasantness in voice will put a positive impact.

  • Try to identify the person, instead of asking directly when you are making a call.
  • Put the call on hold if you are leaving a line for any reason. Ensure that the person doesn’t hear what he/she is not supposed to.
  • Make the ending pleasant by saying "Nice talking to you" or anything like "have a great day" or "have a good night".
